1. Purpose
To ensure the collection and use of student and/or employee photographs:
- protects the personal information of individuals
- respects the individual’s right to control how and for what purpose their personal information is used
- complies with the relevant legislation and College policy.
2. Definitions
Identification Photos in the sense of this policy will consist of 2D head/shoulder digital frontal images of single individuals under controlled lighting, against a standard background at a controlled resolution taken for the purpose of identification by the Student Life office, Human Resources, Campus Police or their designees.
Photos or images of any nature not taken by the College expressly for identification purposes do not fall under this policy but may be subject to other policies and/or laws.
3. Privacy
Identification Photos are a part of the student’s academic record, are non-directory data under FERPA and may only be used as limited by FERPA and this policy.
Identification Photos for faculty and staff are part of their HR record. Identification Photos and other personally identifiable information may be released at the direction of Massasoit legal counsel and/or a court of law or to other educational institutions for the purposes of employment.
4. Appropriate Use
To attend Massasoit, students must have a Massasoit Student Identification Card.
To work for Massasoit, faculty and staff must have a Massasoit Employee Identification Card.
This requires students, faculty and staff to have Identification Photos taken at the Student Life or Human Resources office or under their auspices. Massasoit identification cards are used to identify the holder of the card as a current member of the Massasoit community for the purposes of:
- Accessing Massasoit services, facilities or obtaining goods.
- Upholding public safety by the Campus Police.
Identification photos may be shared across internal and cloud-based third-party systems for the sole purposes identified above. Identification photos may NOT be used for any other purpose, including marketing or promotional materials, without the express written consent of the person photographed.
