Standard: Asset Life Cycle Guidelines

The following table includes a description of the various Statuses that can be attached to an ITS asset.

Asset Status

Description

Inventory

This is the initial status for all ITS assets and is assigned immediately upon receipt.

Active

Active assets are those that are in active use by College constituents.

Under Maintenance

Assets that are in ITS' possession and are in the process of being repaired, upgraded, prepped for deployment, or prepped for recycling.

In Circulation

Asset has been assigned to the Library to be loaned for a brief period of time.

Offsite Repair

Assets that have been sent to a third party service provider for repair or replacement.

Inventory

Assets that ITS has received (or reclaimed) and intends to deploy (or redeploy). The location for assets in inventory should be limited to designated ITS inventory locations.

To Be Recycled

Assets that are located in a designated area and have been prepared for recycling. Preparation may include the removal of hard drives, data, toner, or other measures for security and/or sustainability.

Recycled

Asset has been removed from the College's fleet by a recycling company.

Stolen

Asset has been stolen and Campus Police has been notified.

The purpose of this policy is to provide direction and guidelines for technology related purchases and the planning of technology projects at the college, regardless of the funding source. For the purposes of this policy technology assets can include hardware, software, or any other technical resource required to complete a planned initiative.
