Teams: Recording an MS Teams Meeting

How do I record a Teams meeting (either video or audio) for others to view?

Resolution

You can record any Teams video or audio meeting by activating the Record Meeting feature while conducting your conference. Teams will automatically store your recordings securely in the Team cloud. You can view it in the MS Team app Stream and send shared links to designated people. You will also (as an authorized Team member) have the option to download the recording to your own device.

Please note, as of this article date, Whiteboards and Shared Notes cannot be captured in meeting recordings.

Also, when you view a meeting recording, you'll see no more than four participants, even if there are more involved.

Legal requirements

You may need to get all participant’s permission before you can record them. Please be aware of any legal requirements before starting a recording.

The meeting organizer and the recorder (if a different person) must have Office 365 Enterprise E1, E3, or E5 licenses.

ITS must provide a recording license to both the meeting organizer and the recorder.

Guests or “federated” users can't record meetings or calls.

Start recording the meeting

  • Start or join the meeting before attempting to record.

The recording process can only be started while the conference is being conducted. Only the meeting organizer or a person from the same organization can record a meeting.

People outside the organization are not allowed to record the meeting.

When the meeting starts, you will see the Meetings Control bar.

  • Click  (more options) in the meeting controls bar.
  • You will see the meeting option list.

Please note, as of this article date, guests and external attendees can only view the recording if it's explicitly shared with them.

The following screen messages will appear.

You will see the meeting recording message.

You will also see the recording indicator and timer.

Everyone involved is notified that the meeting is being recording. A notification is also posted to the chat history.

Notes about the recording

There can be only one recording of a meeting at a time.

Recording will continue even if the person who started the recording has left.

The recording stops automatically once everyone leaves the meeting, or after four hours (maximum run time).

The recording will be stored on the Team cloud and made available to all participants.

The person who started the recording will receive an email from Microsoft Stream when the recording is available.

Also a link to the recording in the meeting chat will be available for seven days.

Stop recording the Meeting

  • Click  (more options) in the meeting controls bar.

You will see the Meeting Control options.

  • Click .

You will see a Stop Meeting confirmation message.

  • Click .

You will see the Recording Being Saved message.

You meeting will continue without being recorded from that point on.

  • You can end the meeting by clicking .

In the Channel posts for that meeting, you will see the Meeting Recording message.

The saving (rendering) of the meeting my take some time, depending on the length of the your conference.

Notified when the file is ready

The person who started the recording will receive an email (from Stream) when the recording is completely saved.

A link to the recording will be available in the meeting chat for seven days.

As of this article date, guests and external attendees can only view recordings individually shared with them.

View the recording

Once the file is completely saved, you can review it through the Teams Stream App.

  • To add the App to your Teams set up, click  (more options).

You will see the App options for Teams.

  • Click . It will be pinned to the your Navigation Bar list.

Choose the recording

Click .

You will see your Streamed page.

  • Click .

You will see your Recording page.

  • Click ..

You will see a list of your recordings.

  • When it is ready, you can click on the recording image and review the video.

Share the link

From this page, you can share the link:

  • Click (more options).
  • Click Share.

You will see the share options box.

  • You can set the begin time for the shared recording (the default is to start right at the beginning, you can adjust to share just a portion of the recording).
  • You can click  and past the link into a message (Email, text, etc.) and send it. Only authorized people will be allowed to view it.

Embed the code

  • You can click on Embed and see the embed script for this recording.
  • You can copy the script and paste it into a website.

Close the options

  • After you have chosen your options, click to finish.

Delete the recording

You can also choose to delete or download the finished recording.

  • If you choose Delete, you will see the Delete option box.

  • Click .

The file will be removed from the listing.

You, as an authorized Team member, can also download the recording file to your device.
