Teams: Sharing content in an MS Teams meeting with desktop and mobile devices

  • How do I shared content during a Teams meeting on both a desktop and a mobile device? Can I use both at the same time?

Resolution

Yes, you can easily share content during a Teams meeting.

Desktop options

If you are using a desktop for your meeting:

To share your screen in a meeting

  • Select  Share screen button (Share) in your meeting controls.
  • Choose to present your entire desktop, a window, a PowerPoint file, or a whiteboard.

Note: As of the publication date of this article, the web version of Teams only allows screen sharing using Google Chrome or the latest version of Microsoft Edge.

Do not use other browsers.

The sharing options are:

Desktop – To show your entire screen, including notifications and other desktop activity. You can share multiple windows.

Window – To show just one window with no notifications or other desktop activity.

PowerPoint – To present a complete PowerPoint presentation to others in the meeting.       

Whiteboard – A tool to collaborate with others in the meeting real time. You can sketch, write notes and illustrate discussion points.  

Include system audio

You can share a video or audio clip as part of your presentation. To do this:

  • Select Share screen button (share) in your meeting controls.
  • Click Include system audio.

All your system audio, including notifications, will be included in the meeting.

You won't be able to include your computer's audio while sharing a PowerPoint file or Whiteboard.

As of this article publication date, there is only support for Windows devices for this feature.

Share PowerPoint slides in a meeting

To share a PowerPoint Presentation:

  • Select Share screen button (share) in your meeting controls.
  • From the PowerPoint section, select the file you want.

Once the PowerPoint Presentation is open, meeting members can move around to different slides without interrupting the main presentation or they can sync their view back to the Presenter's view. If you don't want them to navigate through a PowerPoint file you're sharing

  • Select . The slides will be locked into the Presenter's control.

Give and take control of shared content

To turn over control to another meeting participant,
  • On the sharing toolbar, select Give control.
  • Select the name of the person. Teams sends a notification to that person.
To return control
  • Select Take back control.
To take control while another person is sharing,
  • Select Request control.

The person sharing will approve or deny your request.

When you are done
  • Select Release control to stop sharing control.

Zoom in to shared content

You can zoom into specific areas of the screen by clicking and dragging.

To zoom in or out
  • On a laptop, you can pinch in or out on your track pad.
  • On a keyboard, press [Control]-[+] and [Control]-[-]. 
  • Hold [Control] and scroll with your mouse.

As of the publication date of this article, Mac track pads don't support zoom in meetings. use another option. In Linux, turning over taking control of shared content isn't available.

Mobil Device Options

To share content from your mobile device, while in your meeting:

  • Select More options button > Share screen button (share)​​​​​​​​​​​​​​.

You can choose to present a photo, video, PowerPoint, or your entire screen.

Photo – you can take a photo to share or choose one from your gallery.

Live video – You can share live video from your camera.

PowerPoint -  You can present a PowerPoint file.

Your Screen – You can show your entire screen, including notifications and activities.

Presenting on a Mobile device

  • Tap Start presenting at the bottom of your screen.
  • Tap Stop presenting when the presentation is complete. 
  • In PowerPoint, swipe in the direction you'd like to go, or tap the forward and back buttons on the bottom of your screen.

Whiteboard sharing isn't available on mobile. However, you can collaborate on a shared whiteboard from someone else.

Zoom in to shared content

To zoom in a screen on your mobile device:

  • Pinch in or out to zoom on a screen,
  • Tap and drag to see different areas.

Use your phone as a companion device in a meeting

If you are in a meeting with a desktop and you wish to share additional content on a mobile device, you can join both devices while staying in the meeting.

Add a companion device to a meeting
  • Open the Teams meeting on your mobile phone while already in a meeting on another device. 

You'll see a message at the top of your mobile screen with an option to join the meeting.

  • Tap Join to add your phone as a companion device.

The device will be joined as a companion. The companion device's audio feature will be muted to avoid an echo effect.

To present from the mobile device
  • Tap Start presenting at the bottom of the screen. Everyone in the meeting will see what you're sharing.
To end your presentation
  • Tap Stop presenting, or hang up.

Your other devices will still be connected to the meeting.
