How to Create Signatures in Outlook

  • How do I add a signature to my emails?

Resolution

Adding Email Signatures to Outlook Online: 

Note: This will open up Microsoft Outlook in your web-browser. This is the Online version of Outlook.
  • Now, That you are in your Online Outlook Account. Please click on the Gear Icon in the upper right corner of the page. This will be Two icons Left of your Profile Icon.
  • The following menu will pop-up:
  • While in this menu, type in the Search field ‘Signature’ to have the following results appear:
  • Select the option that appears Email Signature. After selecting Email Signature, the following box will open;
  • Next, you can select ‘New Signature’ on the right hand side of the box, under the Email Signature Section;
  • Finally, you should be able to enter a name for the Signature, and add the signature the you would like to have displayed on future emails.

Adding Email Signatures to Outlook Desktop: 

Windows OS:

  • First, you will need to open Outlook on your desktop computer. 
The following picture and steps will explain how to open Outlook on a Windows device.
    1. Open the windows start menu
    2. type in Outlook (Outlook will display in the Application window)
    3. Select Outlook App, and click 'Open
  • Once, you have Outlook opened, click on File located at the top-left of your screen.
  • Next, select Options on the bottom left of the screen that will pop up.
  • Then, a window will open the second option from the top is Mail. Please select Mail
  • After Mail is selected, click on Signatures on the right-side of the options menu, it will be about half-way down the window.
  • Now, you will be in the signature settings. Here you can create a new signature by clickin on New.
  • A window will pop-up allowing you to name the new signature. 
  • Once, the signature has been named. You can write out the message that you would like to be the signature for future emails.
  • Finally, you can click Save at the bottom-left of the signatures window. If you want to make additional signatures you can repeat the steps as needed.

To access any signatures that are not set as your default, you will be able to access them by creating a new email message. At the top of the message window, you will have a section that says Signatures. Clicking on this option will give you a list of signatures that you have created.
