  • How do I securely print documents to a Xerox machine?

Resolution

  • It is very simple to set up a secure print code for Xerox machines on campus. Follow these steps for the printer desired and create your own personal print code. These settings are user-specific on your machine. If you create an individual print code, it will not interfere with colleagues' ability to print.
  • If you need to reset your code for any reason, you will need to remove the printer from your computer and reconnect to it. Please visit our article on shared printers to complete this.
  • If you would like to remove your code and return to a standard print, you can change the job type at any time from Secure Print to Normal Print.
  • These steps apply to Windows devices only. For Macs, please get in touch with the ITS Help Desk at x1139 for assistance.

Setting Up Secure Print

  1. ​Within Windows settings, open the printer you are looking to create a code for. For example, let's use the printer located in SC137. Click on "Printer Preferences":

     
  2. The following Window will open. It may look different depending on which Xerox machine is selected. 

     
  3. Click on the drop-down arrow under "Job Type" and next to "Normal Print." Change the selection to "Secure Print." Once Secure Print is selected, your device will immediately open the following window to establish a code:

     

Enter a code that you will use to release print jobs from the printer. This code can be specific for each user, you don't need to make it something universal. Once the code is established, hit "Apply" in the bottom right to save the settings. 


That's all you will need to establish a secure print code for this machine. To send a document to the Xerox securely, send it to the printer as you would normally. It will be held until you are physically in front of the printer and enter the code.

Release your Print Job

  1. Select "Jobs" from the main screen of the Xerox:

     
  2.  Select "Personal and Secure Jobs" on the bottom left:

     
  3. Click on your user name on the list. Enter the code you created on your computer:

     
  4. Once the code is entered, the document you have sent to the printer will be available. Select one document to print or hit "Print all" in the bottom right:
